For Meeting Guests Attending the Scientific Meeting:

 

The process for approval is as follows:

  1. Submit your meeting guest request, including full contact details (i.e. Name, Credentials, Facility, Address, Email, Phone Number) to both the Chair and Eileen Selogie. This should be done well in advance of the meeting. MEETING guests should not be included on a Member's own RSVP.
  2. The Chair will copy Eileen on the approval of each guest.
  3. Eileen will send the approved guest the BEST Confidential Information Agreement for Participation at BEST Meeting(s) and/or Conference Call(s). He/she will be required to sign and return the form to Eileen.
  4. Eileen will forward the form to the Chair for co-signature. 
  5. Eileen will send a guest RSVP for the BEST meeting. Guests do not have a login to the BEST website.
  6. The guest is responsible for his/her own RSVP.The guest meeting information (e.g., the agenda and logistics) will be sent to guests by Eileen. Guests will not be reimbursed, and are responsible for their own travel and lodging arrangements). The sponsoring member is responsible to mentor each meeting guest's attendance at the meeting.

Guest Policy:

  • Manufacturing and Blood Services Members – A member organization may invite one (1) guest to a meeting with the prior approval of the Chair.

  • Scientific, Associate Scientific and Honorary Members – A member may invite one (1) guest to a meeting with the prior approval of the Chair.

  • Special guests and invited speakers (e.g., Scott Murphy lecturer) will need to sign the Confidential Information Agreement, will be provided guest meeting materials, will be reimbursed at a speaker rate, and will be expected to arrange for their own travel and lodging.

  • Dinner Guests: It has been customary for individuals attending the meeting (the host) to bring one (1) guest to the BEST dinner and any associated activities. One (1) guest for the dinner is considered preapproved by the Chair. In this case, the host is responsible for all RSVPs and obtaining meeting information (e.g., the agenda and logistics) from the website. Dinner guests will not have website access.

    Dinner guests will not be reimbursed, and are responsible for their own travel and lodging arrangements.

    In general, we limit total guest attendance (meeting and dinner) to no more than one (1) guest per person. In cases of more than one approved guest, the Chair may request reimbursement from the host for the costs of meals and activities. The Chair has the prerogative to invite guests for the meeting and wave these guidelines at his/her discretion.
